Job Management: Archiving, Searching, and Organizing

How to archive, unarchive, search for, and organize jobs in the Cloneable web portal, including how archiving affects mobile devices.

As your team completes projects, managing your job list keeps things organized and helps field devices run smoothly. This guide covers how to archive completed jobs, find older projects, and organize your work using folders. For general portal navigation, see the Cloneable Web Portal Overview.

Archiving a Job

To archive a job:

  1. Log in to the Cloneable web portal

  2. Open the job from the dashboard by clicking View Map

  3. Click the three-dot menu (or settings/gear icon) in the job view to find the Archive option

  4. Confirm the action

Important: Only archive jobs that are fully completed and exported. If a job still has active fieldwork or pending exports, archiving it may cause issues with data sync and export.

Removed from active job list

The job no longer appears in the default job selector on mobile devices or the main dashboard

Frees device storage

After archiving, fielders should log out and back in to clear the local data for that job from their device. See Managing Device Storage for more details.

Data is preserved

All job data, measurements, and photos remain on the server. Nothing is deleted.

Can be unarchived

An admin can restore the job at any time if you need to access it again

Note: Archiving a job does not immediately free storage on field devices. Fielders need to log out and back in (or reinstall the app) for the local data to be cleared. See Managing Device Storage for more details.


Unarchiving a Job

If you need to access an archived job again:

  1. Log in to the Cloneable web portal as an admin

  2. On the dashboard, look for an Archived filter or tab to view archived jobs

  3. Find the job you want to restore

  4. Click Unarchive

The job will return to the active job list and become available on mobile devices again after the next sync.

Note: Unarchiving is an admin-level action. If you're a fielder and need a job restored, contact your project manager or the Cloneable support team.


Finding Older Jobs

If you're looking for a job that isn't showing up in your main list:

  • Check the archived section. On the dashboard, look for an "Archived" filter or tab. The job may have been archived after it was completed.

  • Use the search function in the web portal to search by job name or ID

  • Check with your admin. They may have moved the job to a different folder or archived it.

On the mobile app, only active (non-archived) jobs appear in the job selector. If you don't see a job on your device, it's likely archived or not yet assigned to your account.


Organizing with Folders

The Cloneable web portal supports organizing jobs into folders. This is useful for grouping jobs by client, project, region, or any other category that makes sense for your team.

To organize jobs:

  1. In the web portal, look for the folder or group options on your job list

  2. Create folders for your preferred categories

  3. Move jobs into the appropriate folders

Need to add more jobs? You can create a blank job or import a job from Katapult.

Tip: Establish a folder structure early in your workflow. It's much easier to organize jobs as they're created than to sort through dozens of jobs later.


Tips & Reminders

  • Only archive jobs that are fully completed and exported

  • Archiving preserves all data on the server. Nothing is deleted.

  • After archiving, fielders should log out and back in to free device storage

  • Admins can unarchive jobs at any time if you need to access them again

  • Do not archive a job that has active midspan measurements or pending exports

  • Use folders to keep your job list organized as your project count grows
