Set up your configuration, stage by stage

The five stages of a configuration: units, templates, field options, workflows and where data goes.

Importing a model decides what your crews work on. This is where you decide everything else: what units they see, which templates hold their data, whether they measure in the field, and where the data goes afterwards.

If you have just finished a Katapult import, you are not done until you have been through here.

Some of these depend on your own configuration, so you may not see every option described. See Why your screens may not match this guide.


Getting there

Open your configurations from your dashboard or from your settings, then pick the one you want to edit. You need administrator access.

If the dashboard looks empty, go to Settings, then Configurations. You can also open configurations from the menu next to your name.

There are five stages, and you can move between them:

Stage 1. Project Setup

Configuration Name. Cloneable's own guidance: choose a name that identifies this configuration's purpose. You will pick this from a list when creating jobs, so name it after the work, not the date.

Measurement Unit. Three choices:

  • Metric (meters, centimeters)

  • Imperial, feet and inches, shown as 5' 11"

  • Imperial, feet as a decimal, shown as 5.9 feet

This will be used for all field measurements. Pick what your crews say out loud and what your engineers expect to receive.

The name and the unit are both required before this stage will pass.

Enable Field Measurement Capture. The biggest single switch here:

On screen: "When enabled, fielders can capture measurements and attachments in the field. When disabled, attachments are uploaded separately and the Utility Pole Attachments section is not needed."

So it decides whether measuring is a field job or an office job. It also controls whether the Utility Pole Attachments section in stage 3 appears at all. Free Form Naming sits outside that section and stays available either way.

Enable Ground Line Circumference. For the office rather than the field:

On screen: "When enabled, the pole inspection page shows the ground line circumference section with the photo caliper measurement tool, and pole edges are pre-detected when a pole is opened."

Enable Surface Measure (beta). Also for the office:

On screen: "When enabled, the pole inspection page offers surface-point height measurement: tap anywhere on the pole photo for a height corrected around the pole's curved surface, with a two-tap flow for equipment mounted off the pole."

It is marked beta, so try it on one job before switching it on for everything.


Stage 2. Data Templates

Templates are where the data lands. Every object your crews create belongs to one, and the template decides which fields it carries.

The template also sets the default field order. That order belongs to the organization, not to one person.

On UtilityScout, a fielder can reorder fields for themselves. That change does not move fields for anyone else. See Fill in a pole or span's details.

If you can open the pole template from Data Templates, drag a field to a new place. Put the first field task at the top. Measurement data stays pinned. It does not move with the other fields.

You can change the order yourself. Open the template with the Edit button beside it on this stage, then drag the field rows into the order you want. On a Katapult-connected template the screen states the limits itself: locked field names and types cannot be changed, but you can reorder fields, change required and visible settings, and add new fields. Two are required:

  • Pole Template for utility pole data collection and storage

  • Span Template for span and cable connections between poles

Two are optional:

  • Span Measurements for midpoint span measurements

  • Guy Anchors for guy wire anchor points

If your crews record clearances at midspan, or anchors as their own objects, set those two. If you leave them unset, that work has nowhere to go.

If your configuration came from a Katapult import, what you mapped during the import sets these two, and you cannot change them here. If your crews need midspan clearances or anchors and the import did not bring them across, tell us rather than working around it.

Cloneable checks each template as you go. If one does not pass, you get the specific problems and the full list of fields it needs, both already on screen. Once it passes, that list collapses behind Show required fields.

Show required fields lists fields the template itself must have to pass this stage. That check is not the same as marking a field required for a crew.

On the configuration page, each field has two required settings:

  • Required to create the object

  • Required to complete the object

Required to complete keeps the object from counting as done until the crew collects that field. Map color for incomplete work comes from your icon rules. It is not always red. See Set up your map icons. See Why your screens may not match this guide.

Required to create is the other setting. It is not the same gate.

Do not copy Katapult required flags into Cloneable without checking. The two products do not mean the same thing by required. See Choose what comes across from your Katapult model.

A field that appears on UtilityScout is not automatically required. The crew card still decides what this job needs at the pole. See Fill in a pole or span's details.

Photo slots use the same two settings, and you set them on the template yourself. Ask us if you want a second opinion on which photos to make required, not to have the setting changed for you.

You can lock some fields so crews see a value but cannot change it. Use this for owner data, such as a pole tag that came from GIS.

A locked field is not the same as a field that says its type is not supported. That message means UtilityScout cannot display that kind of field. See Fill in a pole or span's details.

A locked field is also not the Analyst (Read-only) role. That role limits a person. This lock limits one field. See Roles, and what each one can do.

You can do this yourself, though it is not one of the five stages. Open the template with the Edit button beside it, then tick Readonly on the field. Crews then see the value and cannot change it on the phone. Someone editing from the web portal can still change it, so if you need the field locked against the office too, ask us.

Custom Map Objects is for anything that is not a pole, span, midspan or anchor.

  • Custom Points are point objects that appear on the map with location data. You can give each one a measurement style: none, measured like a pole, or measured like a midspan. That choice decides what happens when a fielder opens it.

  • Custom Lines are line objects, such as cables, that connect multiple points.

You can remove templates you no longer want offered. If your configuration came from a Katapult import, this stage does not show the template pickers and the Create new buttons. Removing what is there still works, and if a template you need is missing, come back to us rather than starting again.


Stage 3. Field Options

Utility Pole Attachments. This is where you point Cloneable at your own list of attachment options, so crews pick from your vocabulary rather than inventing one.

This section only appears if you turned on field measurement capture in stage 1.

Free Form Naming.

On screen: "Allow fielders to create custom attachment names instead of selecting from predefined options"

Off keeps your data consistent. On is faster in the field and messier afterwards. If your attachment list is still incomplete, turning this on will show you what is missing.

Field Measurement Features is where you choose how guy wires can be captured: entering the numbers by hand, measuring with the camera, or placing by location. You can allow more than one, and crews will use whichever suits the pole in front of them.


Stage 4. Workflows

Three choices, one for each kind of measurement:

  • Pole Measurement Workflow

  • Span Measurement Workflow

  • Guy Wire Measurement Workflow

These point at workflows your organization has had built, so what you see here depends on what exists for you. Guy wires fall back to a built-in flow when nothing is chosen here, and pole measurement started from the accuracy options on the map uses its own built-in flow whatever is set here.

If guy wire measurement does not behave the way you expect, this is the first place to look.


Stage 5. Export Settings

Show Timestamps on Images.

On screen: "Display the capture date and time on exported images"

Off unless you turn it on. Worth turning on if whoever receives your data needs to know when each photo was taken, because there is no way to add it afterwards.

Two integrations.

  • Enable Katapult Integration

  • Enable Field Maps Integration (not compatible with Katapult)

Turn on the one matching where this data has to end up. If you came in through a Katapult model, you want the Katapult one. Katapult export also needs its credentials stored before it will work. See Store the credentials your integrations need.

The screen will let you switch both on, and you should not. The second one is labeled as not compatible with Katapult and its own description says it will not work with Katapult, but that is guidance printed on the screen, not something the software enforces. Nothing stops you, and nothing warns you afterwards. Treat it as a rule you keep, not one the product keeps for you.


Save your work, then make it live

On the configuration page, save your changes first. Then turn the configuration on so jobs can use it.

Do this in that order: save, then turn it on. Until you turn it on, crews cannot use it.

This is not Enable Utility Pole Inspection on the configurations list. That control is a different option. See Update an existing configuration.

Pick-list changes are not live on the phone until someone applies them. A review PDF can show a new menu order before UtilityScout does. Check the phone. If the phone still shows the old order, ask us to apply the change.

Job status Draft on the jobs list is a different thing. See Find and manage your jobs.

Custom types are not in your day-to-day navigation. If you cannot apply a pick-list change yourself, ask us. See What your configuration creates in your account.


Before you hand this to a crew

  1. The measurement unit matches what your crews and your engineers use.

  2. Field measurement capture matches how you actually work, in the field or in the office.

  3. Both required templates are set, and the optional two are set if you need them.

  4. The workflow selects point at the workflows built for you.

  5. The right integration is on, with its credentials stored.

  6. The fields and photos match the list you finalized with us.

  7. You saved the configuration and turned it on. Pick-list changes match the phone.
